CVENT Staff Registration: No later than April 6

Exhibitors and Sponsors should not host events (receptions, meetings or Cabana parties) during any of our scheduled MTMP hours.  As we have mentioned many times, these side events are pulling away our hard earned attendance from MTMP.  These meetings will deplete our exhibit hall attendance which is unfair to us and other exhibitors.  We appreciate your cooperation.

What’s Included with Your Exhibitor Contract?

Exhibit Hall Booths: Pipe and draped booth with dimensions: 10 feet wide x10 feet deep x 8 feet high. 8-foot high black back drape, 3-foot high black side drapes, 6-foot skirted table (6’L x 30”H), 2 chairs, waste basket. Exhibit Hall is carpeted.

Foyer Booths: NOT pipe and draped. Area is 8×8 with 6-foot skirted table (6’L x 30”H), 2 chairs, and waste basket. 

Staff: 4 booth staff who can attend all educational and networking events all 3 days. Badges are required to enter all sessions and events. Booth staff MUST be from your company; not an attorney, affiliate, or consultant.

Free Wifi 

(1) Free CVENT Lead Capture License

Free 30-second video advertising your company 

(2) Attendee Lists: One preshow list sent April 1; second list sent post- conference. Attendee lists include mailing address, not emails.

You must purchase electricity and any other items for your booth using the Freeman Link.

CVENT Exhibitor Portal

The designated main contact on your contract will receive an email invitation directly from CVENT, which will provide your unique login. The CVENT portal is where you will register your attendees and update your company profile. This is the only way to initially access the CVENT portal.

Exhibitor Tasks, Links and Optional Items

REQUIRED: Submit Company Logo for Website Advertising ASAP: Submit Files

REQUIRED: Update your Business Category for Website ASAP.  This will be advertised on our dedicated Exhibitor Business Category page that we post for the next 6 months: Exhibitor Categories Spring 2026

OPTIONAL: FREE 30-second video to promote your company.  All  videos will be shown on a TV screen in the Exhibit Hall and on the TV Hotel Channel. Video must be in .mp4 or .mov file and maximum of .30 seconds. Audio and subtitles recommended. Submit directly via this drop box by February 25: Submit Files

OPTIONAL: Exhibitor-Appointed Contractor (EAC) Forms (to be completed ONLY if you are not using MTMP’s official general contractor Freeman Expo to provide booth set-up): You must print out and complete the EAC forms, and submit by September 22

OPTIONAL: Purchase a Magazine Ad ($350-$600)

  • If you ship via the Business Center please note they will assess a $225 minimum handling fee for inbound/outbound shipments for specific service assistance during the conference. You must contact the Business Center for specific details and fees.
